The Value of One. The Power of Many.
The CBS Skating Club is managed by a volunteer board. Volunteers and Committees are a vital part of our organization. Committees are needed for brainstorming and generating ideas. All ideas generated will be presented to the Board for approval. Upon approval the committee will help implement the program(s) decided on by the Board.
Coordinators will lead a committee (where appropriate) and the Coordinator will be invited to Board meetings on an as- needed basis.
- All volunteers who will work with youth skaters must provide a RNC Code of Conduct certificate.
- All volunteers must be in good standing with the Club.

- Board Positions are nominated prior to the AGM and voted on at the AGM.
- Other volunteers put forward interest prior to/at the AGM. If more than one volunteer puts forward interest a vote will take place. Vacant positions will be filled by board by sending a request for interest will be sent to membership.
- The Board will support co-coordinators if agreed upon by both parties and makes sense for the role for that season.
President
By-Law 17 – 2 year term
The President shall act as Chair of all Board of Directors and general meetings. In his/her absence, the Vice-president will fill this duty.
- Shall preside at all meetings of the Club and the Board and shall only vote in the case of a tie.
- Shall be eligible to sit as a member on all committees.
- Shall chair the finance committee
- Shall oversee club employees
- Shall delegate responsibilities to the members of the Board.
- Ensure that meetings are held in accordance with the Constitution.
- Represent the Club in all public matters or appoint a designee to do so.
- Shall be the Club’s representative for all matters concerning Skate Newfoundland and Labrador and Skate Canada.
- Shall represent the Club at meetings of the Avalon Region or appoint a designee to do so.
- Shall have financial signing authority along with the treasurer and one (1) other member of the Board of Directors.
- Shall work with the Club's Technical Director to oversee the booking/cancellation and maintenance of all ice time required by the Club. Along with the Technical Director hall work with Arena Management and Town of CBS to ensure the ice time requirements of the Club are met.
- Shall ensure the proper organization and scheduling of registrations for all programs run by the Club.
- Shall oversee and support the Technical Director/Club Administrator in the communicating all-important information to all members and coaches necessary to perform their roles within the Club.
- Perform any other duties deemed necessary by the Board.
Vice-President
By-Law 18 – 2 year term
It shall be the duty of the Vice-President to assist the President in the discharge of their duties and in the absence of the President, to assume their duties and officiate in their absence. The Vice-President shall become President should that office become vacant for any reason until the next Annual General Meeting.
- Shall liaise with and be responsible for all contracts with the Club’s professional coaches.
- In consultation with the Program Administrators and the Board of Directors shall arrange for suitable professional (Skate Canada) coaches for all club programs.
- Shall be responsible for submitting to Skate Canada and the Section such reports as are required by Skate Canada rules and other regulations.
- Shall represent the club at the Avalon Region monthly meeting (or appoint a designee to do so) and report to the Board of Directors.
- Will ensure that the coaches have proper documentation submitted.
- Perform any other duties deemed necessary by the Board.
Treasurer
By-Law 19 – 2 year term
The Treasurer shall be responsible for:
- The safe control of all club funds.
- Preparing (with help from the President and Vice-President) and submitting to the Board of Directors an annual budget and keeping such records as are required for financial review.
- Arranging for an unaudited annual financial statement.
- The signing of all club cheques along with one other signatory.
- All financial records pertinent to the Club.
- All necessary documents as required by the auditing authority put in place by the Board of Directors.
- All payroll and accounts payable.
- Performing any other duties deemed necessary by the Board.
Finance Committee
Support the Treasurer in their role as needed
Secretary
By-Law 20 – 2 year term
The Secretary shall deal with all correspondence subject to the approval of the President or his/her delegate including:
- Taking minutes at all meetings, as well as type them and distribute them to the Board via email within 2 weeks of the meeting.
- Maintain a file of Board meeting minutes.
- Shall oversee all correspondence for the Board or the Club and present the Board with all pertinent information received by the Club.
- Pick up mail on a weekly basis and distribute as needed.
- Send out notice of Board of Directors and general meetings of the Club.
- Perform any other duties deemed necessary by the Board.
Coaches Representative
By-Law 21
- Shall act as a representative on the Board for all coaches with the Club.
- Shall act with the best interest of all coaches in matters pertaining to policies, procedures and individuals.
- Shall ensure that the coaches with the Club are at the acceptable qualification level for the task they are performing for the Club.
- Perform any other duties deemed necessary by the Board.
Events Director
By-Law 22-1
Will oversee the scheduling of Special Events and assist the organizers of such events, which include (but are not limited to) tests days, competitions and the Ice Show.
Reporting to the events director is, but not limited to:
- Ice Show Coordinator
- Competition Coordinator
The director will be expected to communicate with these individuals and bring any concerns, updates and issues that they may have to the monthly board meetings. Also, they will be expected to check the Skate NL website on a regular basis looking for important information that may need to be passed on to parents. The Director will be required to give a report to the board at each monthly meeting.
The following positions report to the Events Director, who will relay all information to the Board at monthly meetings.
Ice Show Coordinator:
Responsibilities include:
- Shall work with the technical director and the events director to oversee all aspects of planning and organization for the Annual Ice Show
- Provide updates to the Events Director on a regular basis who will bring the information to the Board at the monthly meetings.
- Attend monthly Board meetings when requested by the Board.
- To organize a committee. The committee will include the following positions that are listed and described below.
Competition Coordinator:
Responsibilities include:
- To coordinate any competitions that may be held at our skating club.
- To organize a committee when hosting a competition. The committee will include the following positions that are listed and described below:
Committees for each event will include:
- Volunteers Lead: Responsible for recruitment, communication and scheduling of volunteers (i.e. ice captains, music; announcing, video camera operations, day of runners, show lights, decorating, concession, hospitality, registration, and any other day of volunteers). Will work with all committees to gauge their needs for volunteers.
- Registration Lead: At Competition, responsible for ensuring all accreditations from coaches/teams are in order, welcome packages, registration procedures on registration day.
- Hospitality Lead: Responsible for hospitality arrangements prior to and during the events. This includes food requirements as well as any other items requested by officials to ensure they are made to feel “at home”.
- Concessions Lead: Responsible for the concession table. This includes the acquisition of items for concession (pre-approved by town officials in conjunction with Events Director), set up of concession table as well the coordination of volunteers to staff the table during the event.
- Events Ceremonies Lead: Responsible for inviting special guests to attend the event, as well as, opening/closing/medal ceremonies. A list of special guests to be invited will be prepared for you.
Club Development Director
By-Law 22-2
Will oversee all initiatives related to Club Development. This includes, but is not limited to Fundraising, and Public Relations. Must attend monthly board meetings and provide a report to the board.
Reporting to the Club Development Director is, but not limited to:
- Fundraising Coordinator
- Fundraising Treasurer
- Public Relations Coordinator
The Director will be expected to communicate with these individuals and bring any concerns, updates and issues that they may have to the monthly board meetings. The Director will be required to give a report to the board at each monthly meeting.
The following positions report to the Club Development Director, who will relay all information to the Board at monthly meetings.
Fundraising Coordinator:
Responsibilities include:
- Will bring fundraising ideas to the Club Development Director.
- To lead and organize a fundraising committee.
- To plan and organize any board approved fundraising events.
- Work with the fundraising treasurer to ensure all necessary information and funds are allocated.
- Prepare and submit Bank deposits
- Prepare annual statement for the AGM
Public Relations Coordinator:
Responsibilities include:
- Will bring ideas and concerns to the Club Development Director.
- Will assist with updating the clubs social media and the Club Website.
- Will attend Board meetings when deemed necessary by the Board.
- Perform any other duties deemed necessary by the Board.
Fundraising Treasurer:
Responsibilities include:
- Will bring ideas and concerns to the Club Development Director.
- Work with coordinator and ensure all fundraising monies are accounted for
- Consult with all managers and prepare a monthly statement setting out all income and expenses in relation to fundraising
- Consult with club’s treasurer and attend board meetings as required
- Bank deposits
- Prepare annual statement for the AGM
Synchro Team Treasurer:
Team Manager and Team Treasurer are selected by a request for volunteers sent to all team members by the Synchro Coordinator. If more than two volunteers expresses interest. A random draw will take place. The Team Treasurer must be comfortable with Excel and managing money.
Responsibilities include:
- Support the Synchro Team Manager in their responsibilities.
- Maintain a spreadsheet with team member’s names, fundraising efforts and expenses.
- Maintain any additional expenses for skaters who also compete as a competitive skater
- Report to the fundraising treasurer on a monthly basis.
- Receive and reconcile payments for fundraising events and return to fundraising treasurer at specified money drops.
- Collect cash and cheques from the skaters to pay for team expenses or remit to the Fundraising Treasurer after being duly recorded on a team spreadsheet.
- Provide accurate and up to date account balances to the skaters and parents at the end of every month.
- Budget all revenues and expenses.
STAR/Competitive Team Treasurer:
Selected by a request for volunteers sent to STAR and Competitive members that are not enrolled in Synchro. Minimum of one volunteer required. If more than two volunteers express interest. A random draw will take place. The Team Treasurer must be comfortable with Excel and managing money.
Responsibilities include:
- Maintain a spreadsheet with team members names, fundraising efforts and expenses
- Report to fundraising treasurer on a monthly basis
- Receive and reconcile payments for fundraising events and return to fundraising treasurer at specified money drops
- Provide accurate and up to date account balances to the skaters and parents at the end of every month.
Volunteer Coordinator
Responsibilities include:
- Recruitment, communication and scheduling of volunteers
- Will work with all committees to gauge their needs for volunteers
- Coordinate Volunteer appreciate activities
Program Director
By-Law 22-3
Will oversee all initiatives related Club Programs and will ensure parents have been informed of all opportunities for their skaters. Will oversee the operations of all skating programs including: CanSkate, STARSkate and Synchro.
Reporting to the program director is, but not limited to:
- Skater Development Coordinator
- Synchro Parent Program Coordinator
- StarSkate/Competitive Parent Program Coordinator
- CANSkate Parent Program Coordinator
- Assessment Coordinator
The Director will be expected to communicate with these individuals and bring any concerns, updates and issues that they may have related to the monthly board meetings. The Director will be required to give a report to the board at each monthly meeting.

Skater Development Coordinator:
Responsibilities include:
- Will work with the Technical Director to help plan activities, events and incentives for our skaters to benefit their skill development.
- To help implement off-ice sessions for our skaters.
- Ensure there is an inventory of copies of sheets required for Skaters Development books, sticker and progress posters.
Assessment Coordinator:
Responsibilities include:
- Will work with the Technical Director to ensurethat assessments required for skaters are scheduled and carried out.
- Submit assessment documents to Skate Canada.
- Responsibility to maintain Club records of tests.
CanSkate Program Parent Coordinator:
Responsibilities include:
- Communicate any concerns from parents to the Program Director
- Will work with the CanSkate Coordinator, Session Administrators and Technical Director to oversee the operations of the CanSkate program.
- Work with the Skater Development Coordinator on initiatives related to CanSkate Programs
- Will assist in recruiting volunteers for the CanSkate Program (e.g., help with set up, gate supervision as well as passing out and collecting pinnies).
- Sit on the subcommittee with Respect in Sport Advocate if an appeal is made to the board.
STARSkate and Competitive Program Parent Coordinator:
Responsibilities include:
- Communicate any concerns from parents to the Program Director.
- Will work with the STARSkate Coaches and Technical Director to oversee the operations of the STAR and Competitive programs.
- Work with the Skater Development Coordinator on initiatives related to the STAR and Competitive Programs
- Welcome parents at the beginning of the season by assisting the Program Director with planning a STARSkate parent meeting.
- Sit on the subcommittee with Respect in Sport Advocate if an appeal is made to the board.
Synchro Program Parent Coordinator:
Responsibilities include:
- Communicate any concerns from parents to the Program Director.
- Help the Program Director with finding volunteers to be Team Managers
- Will work with the Synchro Coaches, Synchro Coach Coordinator and Team Managers to oversee the operations of all Synchro teams.
- Will work with Club Administrator to ensure all teams are registered and make sure all changes are updated in Skate Canada’s system.
- Will work with the Synchro Coaches and Synchro Coach Coordinator to plan tryouts and choreography sessions (if needed).
- Work with the Skater Development Coordinator on initiatives related to the Synchro Program
- Will meet on a monthly basis with all team managers and treasurers to see that all deadlines and arrangements have been made.
- Ensure that proper arrangements have been made for any travel for competitions.
- Sit on the subcommittee with Respect in Sport Advocate if an appeal is made to the board.
Synchro Team Manager:
Team Manager and Team Treasurer are selected by a request for volunteers sent to all team members by the Synchro Coordinator. If more than two volunteers expresses interest. A random draw will take place. The Team Treasurer must be comfortable with Excel and managing money. Responsibilities include:
- Support the Synchro Team Treasurer in their responsibilities.
- Maintain an up-to-date team roster with email and phone list. Email is the main form of communication for teams.
- Maintain the team’s Facebook group page. All synchro coaches and the Synchro Coordinator must be included in the Facebook group for each team.
- Distribute all information regarding competitions.
- Distribute all information from the coach.
- Submit all required competition registration forms before the deadline.
- Help arrange travel arrangements for competitions (with the Synchro Coordinator).
- Consult with the Synchro Coordinator any issues that may arise with the team.
- Coordinate chaperones and volunteers for competition.
- Full responsibility for the teams while at competitions.
Athletics Representative
By-Law 22-4
- Shall act as a representative for all skaters in the Club.
- Shall be appointed by coaches and approved by the Board of Directors annually.
- Perform any other duties deemed necessary by the Board.
- Report any issues, ideas, concerns to the Vice-President.
